I want to show you one of the most useful features that I've found inside Microsoft Teams, and that is the ability to communicate with people who are outside of your organization. This means if you're working with vendors, with clients, with partners, or any other external user, you can actually communicate with them directly inside Microsoft Teams. So let's jump right into it. The easiest way to get started is by navigating to your chat window and selecting the new chat icon at the top. This will open up a field where you can type in the name of the person you want to chat with, but instead of typing in a name, you're going to type in their full email address. As an example, I'm going to type in Megan Bowen's email address, and you can see that Teams immediately recognized that she is an external user. You can confirm this because it says external on the right-hand side of her name. Once I select her name, I can then compose a message just as I would with any other internal user, and then press send. Now, the cool thing is that on Megan's end, she is actually going to get this message inside of her Microsoft Teams application. She doesn't even have to switch tenants to respond to my messages. So if I toggle over to Megan's account, you can see that she has received my message. It also indicates that I am an external user on the right-hand side of my name. Megan can now respond to my message and continue to communicate with me without ever leaving her Microsoft Teams client. Now, it's important to note that you can only communicate with other organizations that have enabled external access. So if you're not able to communicate with a specific organization, then you might need to check with your internal IT department and with the other organization to ensure that external access has been turned on. Another thing to note is that this is different from guest access. Guest access is when you actually invite an external user to join your team. When an external user is a guest in your team, they actually have to switch tenants to access the content and communicate inside that team. External access on the other hand, allows you to chat one-on-one with external users directly inside of your Microsoft Teams client.
